VIEWFINDERS THEATRE COORDINATOR​ 

 

POSITION PURPOSE:

To contribute to the ongoing viability and development of ViewFinders: Atlantic Film Festival for Youth, helping the festival meet its specific needs and goals. Supporting the Youth Initiatives Coordinator, this position will oversee all aspects of the event and ensure the successful execution of the 16th annual ViewFinders School Tour.

 

REPORTS TO:

ALSO ACCOUNTABLE TO:              

Program Director, Senior Operations Manager, educators, partners & sponsors

 

KEY AREAS OF RESPONSIBILITY:

 

  • Coordination of all ViewFinders Film Training activities taking place through the duration of the School Tour;
  • Assist the Youth Initiatives Coordinator with the promotion of the From Away Post Secondary Film Competition, including marketing, communications, finalist screening preparation, and prizing;
  • Work with Youth Initiatives Coordinator to maximize attendance at ViewFinders events;
  • Assist the Front of House theatre team at the Atlantic Film Festival in preparation, and as training, for subsequent ViewFinders activities;
  • Correspond with school administrators, principals and teachers to book participants for all ViewFinders activities while maintaining clear and accurate communication;
  • Assist in the writing, coordination and editing of communications materials regarding ViewFinders activities;
  • Manage Front of House responsibilities for ViewFinders activities at all tour locations.
  • Assist Office Coordination as needed;
  • Implement and oversee a post-festival survey to gauge the success of the festival’s associated events;
  • Complete a detailed final report, participate in a ViewFinders post-mortem and make recommendations as necessary;
  • Represent the Association in a professional manner at all ViewFinders events and other external events, as required;
  • Other duties as required.

VIEWFINDERS MARKETING & COMMUNICATIONS COORDINATOR

 

POSITION PURPOSE:         

The Marketing & Communications Coordinator plays a key role in the overall success of the ViewFinders: Atlantic Film Festival for Youth. The ViewFinders Marketing & Communications Coordinator will support the ViewFinders strategic communications plan, including Public Relations, Online/Offline Communications and Marketing support as needed.

Marketing & Communications Manager

 

ALSO ACCOUNTABLE TO:              

Youth Initiatives Coordinator, Executive Director, Program Director, Festival Staff, educators, partners & sponsors

 

KEY AREAS OF RESPONSIBILITY:

 

  • With the Youth Initiatives Coordinator, the Marketing & Communications Manager and the Marketing & Communications team, create a communications strategy for school and educator outreach (by phone, email, online and in-person), working with all three levels of the education sector (i.e. Department of Education, Regional School Boards, and individual School Administrators);
  • Coordinate updates to the ViewFinders website pages to ensure content is accurate and current; liaise with the IT and marketing departments where needed;
  • Take part in the writing, coordination and editing of ViewFinders communications materials;
  • Assist in the maintenance of the Festival’s social media channels as they pertain to ViewFinders activities (Facebook, Twitter, YouTube, etc.)
  • Employ email solution for regular e-mail messaging;
  • Oversee related contesting/sponsorship initiatives where applicable;
  • Assist the Marketing & Communications Manager, Youth Initiatives Coordinator and Festival Publicist in the development and execution of press relations strategies;
  • Assist the Marketing & Communications team at the FIN: Atlantic International Film Festival in preparation, and as training, for subsequent ViewFinders activities;
  • Assist with interview requirements; supporting the Marketing & Communications team;
  • Support the development and implementation of a plan to have all ViewFinders materials translated into French when and where necessary;
  • Complete a detailed final report, participate in a ViewFinders post-mortem and make recommendations as necessary;
  • Represent the Association in a professional manner at all Viewfinders events and other external events, as required

VIEWFINDERS REGISTRATION COORDINATOR

 

POSITION PURPOSE:         

The ViewFinders Registration Coordinator performs operational and events support duties for the Festival’s youth events and provides support for all departments. The Registration Coordinator is a well-presented individual with excellent interpersonal skills, project coordination experience, and the ability to manage conflicting priorities/deadlines.

Program Director, Festival Staff, educators, partners & sponsors

 

KEY AREAS OF RESPONSIBILITY:

 

  • Assist with educator reservations with educators for their students/classes, including: Managing questions and concerns received from educators and providing a response in a timely fashion; Coordinating details of reservation for educators and provide information and/or suggestions where necessary; Providing communications necessary for attendance at ViewFinders by educators and their students/classes; Develop arrival schedules based on advance registrations and communications with educators;
  • Assist the Box Office theatre team at FIN: Atlantic International Film Festival in preparation, and as training, for subsequent ViewFinders activities;
  • Act as ambassador for educators during their ViewFinders experience; provide support as needed, including arrival and departure procedures;
  • Serve as an on-the-ground ambassador to all educators attending ViewFinders activities;
  • Assist the Finance Manager with any necessary purchase orders, invoices and payment processing prior to and following the event;
  • Complete a detailed final report, participate in a ViewFinders post-mortem and make recommendations where necessary;
  • Represent the Association in a professional manner at all ViewFinders events and other external events, as required;
  • Other duties as required.

VIEWFINDERS OPERATIONS COORDINATOR

 

POSITION PURPOSE:         

The Operations Coordinator is a key position and the operational point of contact for the ViewFinders: Atlantic Film Festival For Youth and all of its activities. This position is crucial to the successful execution of each event and one that the entire organization relies on for orchestrating smooth pre-show planning and on-site implementation.

 

REPORTS TO:                                 

Senior Operations Manager

 

ALSO ACCOUNTABLE TO:              

Youth Initiatives Coordinator, Program Director, Festival Staff, educators, partners & sponsors

 

KEY AREAS OF RESPONSIBILITY:

 

  • Coordinate facilities and services for all ViewFinders events and activities, negotiating contracts and maintaining comprehensive records;
  • Coordinate event logistics including: Food and beverage requirements; Identify security and maintenance measures as required;Assist set-up for all ViewFinders events, including layout, A/V and Technical requirements; Work with IT department to assess all event technology requirements (including Registration and Production space); Secure ground transportation arrangements;
  • Assist the Operations team at FIN: Atlantic International Film Festival in preparation, and as training, for subsequent ViewFinders activities;
  • Coordinate signage requirements;
  • Train and supervise Volunteers as needed;
  • Provide support as needed to all Operations Services: Transportation; Volunteer Technical; Special Events; Information Technology; and Registration;
  • Assist with on-site and theatre operations for the duration of all ViewFinders events;
  • Adhere to production budgets as determined, ensuring all accounting protocols and policies are followed;
  • Participate in weekly staff meetings;
  • Participate in weekly department meetings and supply written reports;
  • Participate in professional development, and on-site training activities as required;
  • Participate in all even post-mortems and make recommendations;
  • Represent ViewFinders in a professional manner at all organizational events and other external events, as required;
  • Other duties as required.
