FIN Atlantic International Film Festival – Volunteer/External Relations Manager

The Atlantic Film Festival Association is currently accepting applications for the position of Volunteer/External Relations Manager.

 

Employment: Full Time

Remuneration: $40,000.00 per annum

 

OVERVIEW:

The Volunteer/External Relations Manager role is responsible for the management of all FIN Events including the Atlantic International Film Festival’s Volunteer Program.  The External Relations aspect of the role acts as a key conduit to government and community relations and is responsible for all the Association’s grant writing.

 

POSITION PURPOSE:

Reporting to the Executive Director and serving as a member of the management team, this position's primary responsibility is managing the volunteer program, ensuring volunteer needs are assessed and met for all activities.

The Volunteer/External Relations Manager is also responsible for the writing of grant requests to numerous organizations across all the Association’s events.

In addition, the role ensures organizational effectiveness by raising public awareness and engaging existing and new audiences, throughout the region, of the FIN Organization and its various activities.

Working with the management team, the position assists with developing and implementing organizational strategies, policies and practices.

 

DIRECT REPORTS INCLUDE:  

Volunteer Coordinator(s)

 

KEY AREAS OF RESPONSIBILITY:

Human/Volunteer Resources  

  • Manage and plan for the associations’ volunteer needs and to ensure development of best standard of practice for the volunteer program. This will include:

o   Training and supervision of volunteer coordinator

o   Management for the delivery of all aspects of volunteer management cycle (recruitment, orientation and engagement) for all association activities.

Event Management/Program Delivery

  • Support the outreach goals of the association, including the development of new initiatives and the support of existing initiatives.
  • Actively participate in long-term planning, including developing initiatives to enhance community and audience engagement.

 

Research, Development and Outreach

  • Identify and develop relationships with existing and potential FIN Atlantic International Film Festival audiences, focusing on the diverse communities reflected in our program content.
  • Manage the association’s donations (give back) policy and delivery.
  • Attend conferences, film festivals and other similar events as required to build relationships and use as case studies for future activities.

Administrative

  • Manage the full range of activities required to prepare, submit, and manage the association’s government grant proposals, including but not limited to Arts Nova Scotia Operations Funding, HRM MLSER Signature Events
  • Research funding opportunities in support of FIN
  • Attend and contribute to all scheduled staff and management meetings.
  • Attend and participate in support of the successful execution of all association activities.
  • Report to and/or attend board of directors’ meetings as requested by the Executive Director.
  • Perform and assist in other duties as directed by the Executive Director.

 

QUALIFICATIONS:

  • Proven ability to manage groups of people across different skill sets while managing conflicting deadlines.
  • Previous experience in grant writing would be a key asset.
  • Proven ability to multi-task with strong organizational skills in a high-pressure environment.
  • Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook).

This position requires a flexible availability especially days leading up to and during festival week including evenings, weekends.

FIN KIDS THEATRE COORDINATOR

THIS IS A JOB CREATION PARTNERSHIP POSITION

POSITION PURPOSE:

To contribute to the ongoing viability and development of FIN Kids, helping the FIN organisation meet its specific needs and goals. Supporting the Youth Initiatives Coordinator, this position will oversee all aspects of the event and ensure the successful execution of the 16th annual FIN Kids Festival Tour.

 

REPORTS TO:  

Youth Initiatives Coordinator

 

ALSO ACCOUNTABLE TO:

Program Director, Senior Operations Manager, educators, partners & sponsors

 

KEY AREAS OF RESPONSIBILITY:

  1. Coordination of all FIN Kids Film Training activities taking place through the duration of the FIN Kids Festival Tour;
  2. Assist the Youth Initiatives Coordinator with the promotion of the FIN Kids Film Film Competition, including marketing, communications, submissions and promotions;
  3. Work with Youth Initiatives Coordinator to maximize attendance at all FIN Kids events;
  4. Assist the Front of House theatre team at the Atlantic International Film Festival in preparation, and as training, for subsequent FIN Kids Activities;
  5. Correspond with school administrators, principals and teachers to book participants for all FIN Kids activities while maintaining clear and accurate communication;
  6. Assist in the writing, coordination and editing of communications materials regarding FIN Kids activities;
  7. Manage Front of House responsibilities for FIN Kids activities at all tour locations;
  8. Assist Office Coordination as needed;
  9. Implement and oversee a post-festival survey to gauge the success of the festival’s associated events;
  10. Complete a detailed final report, participate in a FIN Kids post-mortem and make recommendations as necessary;
  11. Represent the Association in a professional manner at all FIN Kids events and other external events, as required;
  12. Other duties as required.

FIN KIDS MARKETING AND COMMUNICATIONS COORDINATOR

POSITION PURPOSE:         

The Marketing & Communications Coordinator plays a key role in the overall success of the FIN Kids youth events across Atlantic Canada. The FIN Kids Marketing & Communications Assistant will support the FIN Kids strategic communications plan, including Public Relations, Online/Offline Communications and Marketing support as needed.

 

REPORTS TO:

Marketing and Communications Manager

 

ALSO ACCOUNTABLE TO:

Youth Initiatives Coordinator, Executive Director, Program Director, Festival Staff, educators, partners & sponsors

 

KEY AREAS OF RESPONSIBILITY:

  1. With the Youth Initiatives Coordinator, the Marketing and Communications Manager and the marketing and Communications team, create a communications strategy for school and educator outreach (by phone, email, online and in-person), working with all three levels of the education sector (i.e. Department of Education, Regional School Boards, and individual School Administrators);
  2. Coordinate updates to the FIN Kids website pages to ensure content is accurate and current; liaise with the IT and marketing departments where needed;
  3. Take part in the writing, coordination and editing of FIN Kids communications materials;
  4. Assist in the maintenance of the Festival’s social media channels as they pertain to FIN Kids activities (Facebook, Twitter, YouTube etc.)
  5. Employ email solution for regular e-mail messaging;
  6. Oversee related contesting/sponsorship initiatives where applicable;
  7. Assist the Marketing and Communications Manager, Youth Initiatives Coordinator and Festival Publicist in the development and execution of press relations strategies;
  8. Assist the Marketing and Communications team at the Atlantic International Film Festival in preparation, and as training, for subsequent FIN Kids Activities;
  9. Assist with interview requirements; supporting the Marketing and Communications team;
  10. Support the development and implementation of a plan to have all FIN Kids materials translated into French when and where necessary;
  11. Complete a detailed final report, participate in a FIN Kids post-mortem and make recommendations as necessary;
  12. Represent the Atlantic Film Festival Association in a professional manner at all FIN Kids events and other external events, as required

FIN KIDS REGISTRATION COORDINATOR

THIS IS A JOB CREATION PARTNERSHIP POSITION

POSITION PURPOSE:         

The FIN Kids Registration Coordinator performs operational and events support duties for the FIN’s youth events and provides support for all departments. The Registration Coordinator is a well-presented individual with excellent interpersonal skills, project coordination experience, and the ability to manage conflicting priorities/deadlines.

 

REPORTS TO

Youth Initiatives Coordinator

 

ALSO ACCOUNTABLE TO: 

Program Director, Festival Staff, educators, partners & sponsors

 

KEY AREAS OF RESPONSIBILITY:

  1. Assist with educator reservations with educators for their students/classes, including:
  • Managing questions and concerns received from educators and providing a response in a timely fashion;
  • Coordinating details of reservation for educators and provide information and/or suggestions where necessary
  • Providing communications necessary for attendance at FIN Kids by educators and their students/classes;
  • Develop arrival schedules based on advance registrations and communications with educators;
  1. Assist the Box Office theatre team at the Atlantic International Film Festival in preparation, and as training, for subsequent FIN Kids Activities;
  2. Act as ambassador for educators during their FIN Kids experience; provide support as needed, including arrival and departure procedures;
  3. Serve as an on-the-ground ambassador to all educators attending FIN Kids activities;
  4. Assist the Finance Manager with any necessary purchase orders, invoices and payment processing prior to and following the event;
  5. Complete a detailed final report, participate in a FIN Kids post-mortem and make recommendations where necessary;
  6. Represent the Association in a professional manner at all FIN Kids events and other external events, as required;
  7. Other duties as required.

FIN KIDS OPERATIONS COORDINATOR

POSITION PURPOSE:         

The Operations Coordinator is a key position and the operational point of contact for the FIN Kids and all of its activities. This position is crucial to the successful execution of each event and one that the entire organization relies on for orchestrating smooth pre-show planning and on-site implementation.

 

REPORTS TO

Senior Operations Manager

 

ALSO ACCOUNTABLE TO: 

Youth Initiatives Coordinator, Program Director, Festival Staff, educators, partners & sponsors

 

KEY AREAS OF RESPONSIBILITY:

  1. Coordinate facilities and services for all FIN Kids events and activities, negotiating contracts and maintaining comprehensive records;
  2. Coordinate event logistics including:
  • Food and beverage requirements;
  • Identify security and maintenance measures as required;
  • Assist set-up for all FIN Kids events, including layout, A/V and Technical requirements;
  • Work with IT department to assess all event technology requirements (including Registration and Production space);
  • Secure ground transportation arrangements;
  1. Assist the Operations team at the Atlantic Film Festival in preparation, and as training, for subsequent FIN Kids Activities;
  2. Coordinate signage requirements;
  3. Train and supervise Volunteers as needed;
  4. Provide support as needed to all Operations Services: Transportation; Volunteer Technical; Special Events; Information Technology; and Registration;
  5. Assist with on-site and theatre operations for the duration of all FIN Kids events;
  6. Adhere to production budgets as determined, ensuring all accounting protocols and policies are followed;
  7. Participate in weekly staff meetings;
  8. Participate in weekly department meetings and supply written reports;
  9. Participate in professional development, and on-site training activities as required;
  10. Participate in all even post-mortems and make recommendations;
  11. Represent FIN Kids in a professional manner at all organizational events and other external events, as required;
  12. Other duties as required.
